Know what you’re buying

Three kinds of answering service.

The right AI answering service for a service business answers every call in a natural voice, books jobs into your calendar, texts the caller a confirmation and hands the call to a real person when it should, for a monthly price you can read on one line. Before you compare providers, know which of three kinds of service you’re looking at.

A live answering service uses human operators reading from your script. They take messages well, but many can’t qualify a lead against your rules or book straight into your calendar, and most bill by the minute or by the call. An AI receptionist uses conversational AI trained on your business. It answers questions, qualifies, books, texts and transfers, and it can take many calls at once. A missed-call text-back sends an automatic text when you miss a call. It’s the lightest option and better than silence, but there’s no conversation.

Within AI receptionists there’s one more split: self-serve tools you set up and maintain yourself, and fully managed services where the provider builds the knowledge base, writes the call rules and keeps tuning them. If nobody in your office has time to run software, that difference matters more than any feature. Our AI versus traditional answering service comparison goes deeper on the first two.

If you are narrowing down providers, our Ruby and Smith.ai alternatives guide for service businesses compares the plans with Lithium’s managed option and gives you specific calls to test before buying.

The must-haves

What a good AI answering service should do.

Answer every call, 24/7

Nights, weekends and holidays, in a natural voice, on the first ring.

Know your business

A knowledge base built from your services, service area, hours and the answers you approve.

Qualify and book

Ask your screening questions and put real jobs on your calendar.

Transfer to a real person

Hand off emergencies, big jobs or anyone who asks, with a fallback when nobody picks up.

Text the caller

Confirmations, follow-ups and photos by SMS and MMS.

Take calls at once

Handle a storm-day spike without a busy signal or a hold queue.

Two more belong on the list: call recordings with transcripts, so you can hear what happened on any call, and hooks into the calendar and CRM you already use, so bookings and caller details land where your office works. If a service can’t do most of these, it’s a voicemail with a nicer greeting.

Test it yourself

Seven test calls to make before you buy.

A demo built on the provider’s script always sounds good. Your own calls tell you more. Give every provider the same business facts, then call with these seven scenarios:

1

A routine booking

A job you do every day. Does it ask the right questions and book a real slot?

2

Outside your service area

A caller two towns past your boundary. Does it decline politely and say so clearly?

3

A price question

Does it give the range you approved, or invent a number?

4

An emergency

Water on the floor, no heat, sparks. Does it follow your emergency rule right away?

5

“Can I talk to a person?”

Does it transfer, and what happens when the person doesn’t answer?

6

A confused caller

Someone vague, rambling or upset. Does it stay patient and get the basics?

7

A current customer

Someone calling about a job already scheduled. Does it recognize the difference from a new lead?

After each call, check three things: what the caller heard, what record your office received, and whether the calendar entry is right. A smooth voice means little if the booking lands in the wrong place or on a time you can’t make.

You can start right now. Call (503) 766-5964 and Lithium’s managed AI receptionist will answer our own line. Try a couple of the scenarios above and judge for yourself.

The office side

Check what your team gets after the call.

The caller’s experience is half the test. The other half is what reaches your office. Write down what your team needs to act on a call: name, number, address, the problem in the caller’s words, how urgent it is, and whether a job was booked. Then check whether each provider delivers all of it, and where: a text, an email, your CRM or a dashboard you’ll never open.

Ask to see a real call record from your test. Can you play the recording and read the transcript? If the AI gave a wrong answer, can you see why, and who fixes it? With a self-serve tool, that’s you. With a managed service, the provider should update the knowledge base and call rules for you, and keep tuning them as your business changes.

Finally, test the transfer with the receiving phone switched off. The caller should get a clear message and a promised callback, and your team should get the full details by text. A transfer that rings into nothing is the fastest way to lose a job you already answered.

Pricing

What an AI answering service should cost.

Answering services price in a few common ways: by the minute, by the call, or a monthly plan with a set number of minutes or calls and overage charges beyond it. Some add setup fees, holiday surcharges, charges for transfers or texts, and long contracts. None of that is wrong, but it makes two quotes hard to compare and a busy month hard to predict.

Lithium’s AI receptionist is $179 a month, fully managed, with no contract and no setup fee, and it handles unlimited concurrent calls. For comparison, a human receptionist runs $3,500 or more a month and works set hours.

Whatever you compare, ask each provider for a written quote that shows the monthly charge, what counts as billable, any setup or overage fees, and how you cancel. Then price out your busiest month, not your average one. The AI receptionist cost guide breaks the numbers down further.

Before you sign

Eight questions to ask every provider.

1

Who sets it up, and who changes it later?

You want a name, not a help-center link.

2

What counts as billable?

Minutes, calls, transfers, texts, spam calls. Get it in writing.

3

Is there a contract or a setup fee?

A service confident in its product doesn’t need to lock you in.

4

Can it transfer to my cell or my on-call tech?

And what happens when nobody answers?

5

Which calendar and CRM does it connect to?

Name yours and ask for proof it works.

6

Can I hear recordings and read transcripts?

For every call, not a sample.

7

How fast can it go live?

Days is normal for a managed service.

8

What happens to my data if I cancel?

Recordings, transcripts and caller details should be exportable.

Walk away if you see these

Red flags in an AI answering service.

  • Pricing you can’t predict from one month to the next
  • A long contract before you’ve heard it take a real call
  • No way to reach a real person
  • A demo that only works on the provider’s own script
  • A “managed” service that hands you a login and a manual
  • Claims that it can diagnose problems or quote exact job prices
  • Vague answers about who owns your recordings and caller data

If you need more than answering, like urgency triage that texts your on-call tech or a connection to custom systems, that’s custom AI automation , scoped after a free discovery call. Either way, tell us about your calls and a co-founder will walk you through what we’d set up.

FAQ

Questions before choosing a service.

DJ Van Zanten

Still curious?

Call (503) 766-5964 or email [email protected].

What should happen if nobody answers a transferred call?

The caller should never hit a dead end. Set a fallback before launch: the AI takes a full message, tells the caller when to expect a callback and texts the details to your team. Test it with the phone switched off.

Will callers know they’re talking to AI?

Some will, and that’s fine. A natural voice that answers on the first ring, knows your services and books the job beats voicemail every time. Lithium’s receptionist lets you choose from 30 natural AI voices, and the goal is a helpful call, not hiding that it’s AI.

Can an AI answering service handle emergency calls?

Yes, if you set the rules. Decide which problems count as emergencies and who gets them, and have the AI transfer those calls to your on-call person. Urgency triage that texts the on-call tech automatically is custom work on top of the receptionist.

Can we keep our call history if we switch providers?

Ask before you sign. Find out whether recordings and transcripts can be exported, how long they are kept and what happens to them when you cancel, and get the answer in writing.

How long does setup take?

With a managed service, days. Lithium’s AI receptionist goes live in days: you answer questions about your business and review the setup, and we configure and test the rest.
